THE ROLE

We are currently looking for an Executive Assistant (m/f/d) who is passionate about supporting the operations and administration of the company’s CEO and CFO, based in Koblenz. The ideal candidate is passionate about supporting the two Managing Directors (CEO and CFO) in their daily business and facilitating their interaction and communication within the company. YOUR JOB AS PART OF THE CANYON CREW

 

  • You will support the organization and execution of local events (e.g. all-hands, team events, Leadership Offsites, etc.) 
  • You will collect & consolidate team input & information (e.g. agenda team meetings, holiday schedule, etc.) 
  • Ideally, you will become the GO-TO person for the executives' direct reports and other key people in the company; handle any topics as independently as possible and appropriate
  • Ideally, you will consolidate and filter information/requests and relay back to the executives efficiently to ensure fast and pragmatic information between them and peers/teams. 
  • Exposure: You will directly support the CEO and CFO, and work closely with the Executive Leadership Team, Board members & shareholders, as well as other key stakeholders within the company (e.g. People, Finance, Legal, etc.).
  • Meeting Coordination: Own ongoing calendar management of Managing Directors, organizing and scheduling board meetings, preparing agendas, and taking minutes during meetings.
  • Communication: Acting as a liaison between the Managing Directors and other departments, handling correspondence, and ensuring effective communication. Including prioritization and managing email / correspondence as applicable and appropriate.
  • Document Management: Preparing and managing documents, reports, and presentations for (board) meetings and other executive activities steering rounds.
  • Project Support: Assisting with special projects and initiatives as directed by the Managing Directors. 
  • Confidentiality: Handling sensitive information with discretion and maintaining confidentiality in all matters.
  • Travel Arrangements: Planning and booking travel, including flights, accommodations, and transportation.

HOW YOU BECOME PART OF THE RACE

 

  • Ideally, you have work experience in supporting a senior executive or team in an international, intercultural, and fast-paced environment
  • You are able and enjoy organizing and structure the daily business for two executives to contribute to organizational efficient steering 
  • You are a pragmatic thinker, and you enjoy finding solutions to issues independently 
  • You feel comfortable in a flexible environment and see (at times) frequent last-minute requests/changes as a welcome challenge to be mastered
  • Ability to work independently and be an accountable & trusted team player
  • You are able to properly manage and maintain confidential and sensitive information
  • Strong verbal and written communication skills (communicate to shareholders/their assistants and other Board members as well as other senior leaders in the company and external contacts) 
  • English (verbal and written) is mandatory; additional German skills will hugely facilitate communication 
  • You feel comfortable in the MS environment (especially Teams & Outlook)
  • You enjoy working in the office. Due to the nature of this role, we are looking for somebody who is – in general - willing to be on site when the CEO and/CFO are here, normally 3-4 days a week
